EP App is a private workforce management system operated by Efficient Pipeline LLC ("Efficient Pipeline," "we," "us," or "our"), a construction and pipeline services company based in Carrollton, Ohio. EP App is provided exclusively to employees and contractors of Efficient Pipeline LLC for internal business purposes.
2. Information We Collect
We collect the following types of information from our employees and contractors:
- Identity and contact information (name, address, personal mobile phone number, personal email, emergency contact)
- Employment records (job title, crew assignment, hire date, certifications, training records, time worked)
- Payroll information (pay rate, hours, per diem, deductions) handled in coordination with our payroll provider
- Operational data (equipment inspections, work orders, time entries, job site assignments)
- Application logs and authentication events for security and troubleshooting
3. How We Use Your Information
We use the information we collect strictly for legitimate business purposes, including:
- Authenticating you when you sign in to the EP App (one-time SMS login codes)
- Sending operational notifications such as schedule changes, work assignments, equipment alerts, and crew communications
- Managing payroll, benefits, and HR records
- Tracking equipment, work orders, and job site activity
- Complying with applicable laws, regulations, and safety requirements (OSHA, DOT, ISN, Veriforce)
We do not use your personal information for marketing or advertising purposes, and we do not sell, rent, or trade your personal information to any third party for any purpose.
4. SMS and Mobile Information
Phone numbers used for SMS messaging are collected during the employment intake process and are stored in your HR record. Phone numbers and SMS opt-in data are used solely for sending you transactional messages from the EP App (login codes, schedule notifications, equipment alerts, and crew communications). We do not share phone numbers, SMS opt-in information, or any related consent data with third parties for marketing or promotional purposes. No mobile information is sold or shared with any unaffiliated third party for any reason.
5. Service Providers
We rely on a small number of trusted service providers to operate the EP App. These providers process information only on our behalf and are contractually prohibited from using it for any other purpose:
- Twilio — SMS message delivery (login codes and notifications)
- Vercel — Application hosting
- Neon — Database hosting
- Microsoft — Email delivery
We may also disclose information when required by law, court order, or to protect the rights, property, or safety of Efficient Pipeline, our employees, or others.
6. Data Retention
We retain employee records for the duration of your employment and for the period required by applicable employment, tax, and safety laws (typically 7 years for payroll and 30 years for certain safety records). When records are no longer required, they are securely deleted or anonymized.
7. Your Rights
You have the following rights regarding your personal information:
- Access the information we hold about you by contacting HR
- Request correction of inaccurate information
- Opt out of SMS messages at any time by replying STOP to any message or contacting HR (note: opting out of SMS will prevent SMS-based login)
- Request deletion of your information after the end of employment, subject to legal retention requirements
8. Security
We use industry-standard administrative, technical, and physical safeguards to protect your information, including encryption in transit, role-based access controls, and regular security reviews. No system is perfectly secure, but we take reasonable steps to protect against unauthorized access, alteration, disclosure, or destruction.
9. Children's Privacy
The EP App is not intended for use by anyone under the age of 18. We do not knowingly collect personal information from minors.
10. Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be communicated to active employees via the EP App or by email. The "Effective Date" at the top of this page reflects when the current version took effect.
